Terms and conditions

Last updated 30 September 2026. Plain language. By using QuinaHR or paying for it, your agency agrees to these terms.

1. Who we are and what QuinaHR is

QuinaHR is a timesheet approval portal run by Jamivi Web Development Services ("we"), 9021 Quintin Gumiit Road, Marahan II, Alfonso, Cavite 4123, Philippines. It lets a staffing or outsourcing agency ("you") collect timesheets and claims from its staff, have its clients' supervisors approve them, and export them. QuinaHR is not payroll: it does not calculate pay, statutory contributions or tax, and does not file anything.

2. Your account

• We set up your agency's account. You are responsible for who you add (your admins, staff and your clients' approvers) and for the accuracy of what is recorded.
• Sign-in is by a code sent to each person's email, or a passkey on their own device. Keep email accounts secure and tell us straight away if you think an account is misused.
• You must have the right to put your staff's and clients' details into QuinaHR, and to use features such as the work location check, and you tell the people concerned what is recorded.

3. Prices and payment

• Prices are those published on our pricing for your country when you order, or agreed with you in writing. You are billed in your country's currency, per active staff member a month with a monthly minimum; client approvers are never counted.
• We send a billing statement for each period and issue our official invoice separately. The renewal billing statement is sent about a week before the period ends. There is no automatic card charge.
• If a renewal is not paid when the period ends, the account becomes past due; after a further 14 days it is suspended until paid. Your data is kept while suspended.
• Prices exclude VAT. For customers in the Philippines, 12% VAT is added to each billing statement and shown on our official invoice. Customers outside the Philippines who pay in their own currency are billed zero-rated (VAT 0%) where the rules allow. If your company withholds tax on our services, pay the amount after withholding shown on the billing statement and send us BIR Form 2307.
• We may change prices for future periods with at least 30 days' notice by email; a period already paid is never repriced.

4. Your data

• Your agency's records are yours. We process them only to run QuinaHR for you, as set out in our privacy policy, and never sell them.
• They are stored in Singapore, each agency's data kept separate. Nightly backups are encrypted before they leave our server and kept with Cloudflare in the Asia-Pacific region.
• When your subscription ends, you can ask us for your timesheets and records as spreadsheets and PDFs. We keep your data for 60 days after the end, then delete it, except the billing statements we issued you and the record of their payment, which we keep as long as tax law requires; copies in our backups are overwritten on their normal schedule.

5. Acceptable use

Do not use QuinaHR to break the law, to record information you have no right to hold, to attempt to reach another agency's data, to overload or probe the service, or to resell it without our written agreement. We may suspend an account that does, and will tell you why.

6. Availability and changes

We work to keep QuinaHR available and your data safe, but we do not promise uninterrupted service. We announce planned maintenance where we can. We may improve or change features; if we remove something you rely on, we tell you in advance.

7. Liability

As far as the law allows, we are not liable for indirect or consequential loss (such as lost profit or business), and our total liability for any claim is limited to the fees you paid us in the 12 months before it. Nothing here limits liability that cannot be limited by law.

8. Ending the agreement

You can cancel as set out in our refund policy. We may end the agreement with 30 days' notice, or immediately for a serious breach of these terms; if we end it without a breach on your part, we refund the unused part of any period you paid for.

9. Changes to these terms

We may update these terms. For a change that affects you materially, we email your admins at least 30 days before it applies.

10. Law

These terms are governed by the laws of the Republic of the Philippines. Disputes go to the proper courts of the Province of Cavite, after we have both tried in good faith to settle them by talking.
